Who we are and how to contact us?

We're the London Borough of Hammersmith and Fulham’s Asset Management and Compliance Team. Hammersmith and Fulham are the Data Controller for the personal data we process. Our Information Commissioner’s Office (ICO) registration number is Z5124889.

General council contact information, including our switchboard phone number and our address is on our council contact us page.

What we collect and process

We already have a central depository containing addresses and contact details of the Councils tenants held by the Councils Customer Service Team. We need to use your contact details for communication purposes to book an appointment for a stock condition survey.

We process your data to support the Council in assessing the condition of your home, to identify any health and safety hazards and address them accordingly. The data will help the Council plan future investment works to your homes and ensure compliance and safeguarding of residents is met. No personal information will be collected as part of the process.

Our legal basis for processing your data is Public Task (6e) because the Council has a statutory duty to ensure that their assets are fit for purpose, and their residents are safe.

Who we share your data with?

Your contact details will only be shared with the appointed contractor, Ridge and Partners LLP, who will use it to book appointments with you. The output from the stock condition survey, will be shared with the relevant internal service departments, including the Capital Delivery, Mechanical and Electrical, and Repairs Teams. The data will assist with ascertaining budgets for planned maintenance improvements conducted by H&F approved contractors and the Direct Labour Organisation. All necessary safeguarding security controls are in place to ensure the confidentiality of your contact details.

How long the contractor will have access to your contact details   

All personal data shared with the contractors to help them book appointments for the survey, will be deleted at the expiration of the survey programme. A confirmation will be sent from the contractor to us to confirm the deletion of your contact details. We have contractual clauses to ensure this.   

What are your rights?

In relation to this processing and based on our lawful basis for processing, you have the right to:

  • Be informed - A communication pack will be sent out to inform you on the stock condition project.
  • Access your data - Should your contact details be incorrect, then please do not hesitate to contact the Council on 020 8748 3020 with your correct details.

What if this notice changes?

If we make a big change to what data we process, how or why we process it, or who processes it we’ll update this notice. We may also contact you using other communication channels to make you aware of the changes.
